PowrPlay

Terms of Service

Last updated September 7, 2026

These Terms of Service (“Terms”) are an agreement between you and Powrplay AI LLC (“PowrPlay,” “we,” “us”), a California limited liability company. They govern your use of the PowrPlay website, mobile apps, and related services (together, the “Service”). By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.

1. What PowrPlay is

PowrPlay is coaching-management software for sports academies. It helps a coach or academy run programs, keep a schedule and a roster, take attendance, track what families owe and have paid, and share notes, photos, and training videos with those families.

We are the software, not the coaching. PowrPlay does not provide coaching, training, supervision, facilities, or instruction of any kind. We do not employ, vet, screen, background-check, endorse, or supervise any coach, assistant coach, or academy on the Service, and we do not verify anyone’s qualifications, certifications, or insurance. Any coaching relationship is between the family and the academy, and the academy alone is responsible for it.

2. Who may use the Service

You may use the Service if you can form a binding contract with us and are not barred from doing so under applicable law.

  • Adults. You must be 18 or older to create a PowrPlay account.
  • Children do not create accounts. Information about a minor athlete is entered and managed by that child’s parent or guardian and by their academy. A parent, guardian, or academy may review a child’s information or request its deletion at any time.
  • Teens. An academy may give an older teen their own login. When it does, the parent or guardian who set that up remains responsible for the teen’s use of the Service and agrees to these Terms on their behalf.

3. Your account

Keep your account information accurate, and keep your password and sign-in tokens to yourself. You are responsible for everything that happens under your account. Tell us at support@powrplay.ai promptly if you believe someone else has access to it.

4. Academies, coaches, and families

An academy owner controls their academy: who coaches in it, who is on the roster, what programs run, what they cost, and which assistant coaches can act on the owner’s behalf. Assistant coaches act within the permissions the owner grants them.

Money between a coach and a family does not pass through PowrPlay. Families pay their academy the way they already do — cash, Zelle, Venmo, PayPal, or anything else. PowrPlay is the ledger that records what was charged and what was paid. We are not a party to that payment, we do not hold, transmit, or escrow it, and we are not responsible for collecting it, refunding it, or resolving a dispute about it. That is between the family and the academy.

An academy’s own policies — pricing, make-up sessions, cancellations, refunds of coaching fees — are the academy’s to set and honor. They are separate from the PowrPlay subscription terms in Section 5.

5. Plans, billing, and renewal

  • Families are never charged by PowrPlay. Only an academy owner pays us, and only for a paid plan they choose.
  • One subscription per owner. A paid plan covers the person who owns the academies, not each academy separately. There is a Free plan; paid plans (currently Plus and Premium) add higher limits and additional features. Current prices, limits, and what each plan includes are shown on our pricing page and in the app under Plan & usage.
  • Auto-renewal. Paid plans are sold monthly or yearly and renew automatically at the then-current price until you cancel. You authorize us to charge your payment method for each renewal.
  • Payments are processed by Stripe. We never receive or store your card number. Your use of Stripe’s checkout and billing portal is also subject to Stripe’s terms.
  • Where you can subscribe. Subscriptions are purchased on the web. The mobile app does not sell them.
  • Taxes. Prices exclude taxes. Where we are required to collect sales, use, or VAT, it is added at checkout.
  • Price changes. We may change prices. We will give you at least 30 days’ notice by email before a change takes effect for you, and it applies from your next renewal — never mid-period. If you do not want the new price, cancel before it renews.
  • Failed payments. If a charge fails, we may retry it and may downgrade your academy to the Free plan. Your data is not deleted; features above the Free limits stop until payment succeeds.

6. Refunds and cancellations

You can cancel at any time. Open Plan & usage in the app and cancel from the billing portal. Your plan stays active through the end of the period you have already paid for, and you are not charged again.

We do not refund partial periods. Fees already paid are non-refundable. That includes the unused remainder of a month or a year after you cancel, time when you did not use PowrPlay, and periods during which your academy was quiet or out of season. Yearly plans are not pro-rated.

If you were charged in error, tell us and we will fix it. A duplicate charge, a charge after you cancelled, or a charge on the wrong plan: email support@powrplay.ai within 60 days of the charge and we will refund it. We may also refund at our discretion in other circumstances; doing so once does not oblige us to do it again.

Coaching fees are not ours to refund. What a family pays an academy for sessions never passes through PowrPlay. Refunds of those are the academy’s to give under its own policy — please contact your academy directly.

This is also published on its own at Refunds & Cancellations.

7. Your content

You keep ownership of what you put into PowrPlay — notes, photos, videos, rosters, and schedules (“Your Content”). You grant us a worldwide, non-exclusive, royalty-free license to host, store, reproduce, and display Your Content, solely to operate and support the Service for you and the people you share it with. This license ends when you delete the content or your account, except for backups that expire on our ordinary schedule.

You are responsible for having the right to upload what you upload. In particular, if you post a photo or video of a minor who is not your own child, you confirm you have that child’s parent or guardian’s permission to share it with the people who will see it in PowrPlay.

We may remove content that violates these Terms or the law, and we may preserve content where a law, subpoena, or investigation requires it.

8. Acceptable use

Do not use the Service to:

  • break the law, or infringe anyone’s privacy or intellectual property;
  • harass, threaten, bully, or endanger anyone — a child on a roster above all;
  • upload malware, or anything sexually explicit, hateful, or violent;
  • impersonate another person, coach, or academy;
  • send unsolicited marketing to families in an academy’s roster;
  • probe, scrape, overload, or reverse-engineer the Service, get around its limits or access controls, or use it to build a competing product;
  • resell, sublicense, or share paid access outside your own academies.

9. Privacy and messaging

What we collect and why is described in our Privacy Policy, which is part of these Terms. If you opt in to text messages, our Messaging Terms apply as well.

10. Our intellectual property

The Service — the software, design, and the PowrPlay name and logo — belongs to us. These Terms give you a limited, revocable, non-transferable right to use it, and nothing more. Feedback you send us we may use freely, without obligation to you.

11. Changes to the Service

PowrPlay is actively developed. We add, change, and sometimes retire features. If we materially reduce a feature you are paying for, we will tell you by email and, if you would rather leave, you can cancel and keep access until your period ends. We do not promise any particular uptime.

12. Suspension and termination

You may stop using PowrPlay at any time and delete your account from Settings → Delete account. We may suspend or terminate an account that breaks these Terms, that puts other users or the Service at risk, or where we are required to by law — with notice where we reasonably can give it. On termination, your right to use the Service ends; what happens to your data is described in the Privacy Policy. Sections 4, 6, 7, 10, and 13 through 17 survive.

13. Disclaimers

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, SECURE, OR ERROR-FREE, OR THAT ANY DATA WILL BE PRESERVED WITHOUT LOSS. SOME JURISDICTIONS DO NOT ALLOW THESE EXCLUSIONS, IN WHICH CASE THEY MAY NOT APPLY TO YOU.

We are not responsible for the conduct of any coach, academy, family, or athlete, on the Service or off it, and not for any injury, loss, or dispute arising from athletic activity.

14. Limitation of liability

TO THE EXTENT PERMITTED BY LAW, POWRPLAY WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, OR DATA. OUR TOTAL LIABILITY ARISING OUT OF OR RELATING TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR (B) ONE HUNDRED U.S. DOLLARS ($100). THESE LIMITS APPLY EVEN IF A REMEDY FAILS OF ITS ESSENTIAL PURPOSE.

15. Indemnity

You will indemnify and hold PowrPlay harmless from claims, damages, and reasonable legal fees arising out of your content, your use of the Service, your breach of these Terms, or — if you run an academy — your coaching activities and your relationship with your families.

16. Changes to these Terms

We may update these Terms. When we do, we revise the “Last updated” date above, and for material changes we will give notice by email or in the app at least 30 days before they take effect. Continuing to use the Service after that means you accept the updated Terms.

17. Governing law and disputes

These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules. Any dispute arising out of or relating to these Terms or the Service will be brought exclusively in the state or federal courts located in Santa Clara County, California, and you and PowrPlay each consent to personal jurisdiction there.

If any provision of these Terms is held unenforceable, the rest stays in force. Our not enforcing a provision is not a waiver of it. These Terms, together with the Privacy Policy and Messaging Terms, are the entire agreement between us about the Service.
